Purpose and scope
The SALC Daily Briefing Mailer is a private tool operated by OfficeNote to prepare and send scheduled news briefings to a fixed group of Southern Arizona Leadership Council staff. This policy describes the tool’s use of Google user data.
Google data we access
The mailer requests only the Google Gmail API permission https://www.googleapis.com/auth/gmail.send. This permits the tool to send prepared email messages on behalf of the Google account whose owner explicitly authorizes it.
The mailer does not request Gmail permissions to read, search, download, modify, organize, or delete messages. It does not access Google contacts, calendars, Drive files, or account passwords.
How Google data is used
The Gmail sending permission is used solely to transmit the Member Briefing, Election Watch, operational tests requested by the administrator, and delivery-status messages necessary to operate the service. Google user data is not used for advertising, profiling, or training artificial-intelligence models.
Storage and security
OAuth credentials are stored privately on the administrator’s secured system and are not stored on this public website. Access is limited to the operator responsible for the mailer. Delivery records may retain the recipient address, sending time, Gmail message identifier, and delivery state to prevent duplicate sends and diagnose failures.
Sharing and transfer
Google user data is not sold. It is not shared with third parties except as necessary to send the authorized email through Google’s Gmail API and deliver it to the configured recipients. The mailer’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
Retention and deletion
The OAuth credential is retained while the mailer remains authorized. It is replaced when the account owner reconnects the service and deleted when access is discontinued. Operational delivery records are retained only for service continuity, duplicate prevention, auditing, and troubleshooting.
Your choices
The Google account owner may revoke the mailer’s access at any time through Google Account third-party access settings. Revocation prevents future messages from being sent until the owner authorizes the service again.
Changes
Material changes to how the mailer accesses or uses Google user data will be reflected on this page before the changed practice is put into use.
